The Cost of Workplace Distraction in 2026

Every dollar figure on workplace distraction, traced back to its source - including the famous ones running on 20-year-old maths.

Distraction at work costs the US economy somewhere between $391 billion and $650 billion a year, depending on whose estimate you trust. Per person, the maths lands at roughly $22,000 per knowledge worker per year. The average US knowledge worker loses about 581 hours a year to distraction, which works out to more than two hours of every working day.

Those are the honest headline numbers. They come with big error bars, and the most quoted figure in this category was calculated in 2005 using $21-an-hour wages.

Most pages covering this topic copy the numbers from each other without checking where they started. I wanted this page to be the one that shows the receipts. Every statistic below links to its primary source. Where I compute a figure myself, I show the working and label it as my own arithmetic. Where a famous number turns out to have shaky foundations, I say so.

The $588 billion number, traced to its origin

The most cited figure in workplace distraction content is that interruptions cost the US economy around $600 billion a year. You will see it quoted as $588 billion, $650 billion, or sometimes "nearly $1 trillion." All of these trace back to one source: a New York research firm called Basex.

In September 2005, Basex analysts Jonathan Spira and Joshua Feintuch published a report called The Cost of Not Paying Attention: How Interruptions Impact Knowledge Worker Productivity. The executive summary states it plainly: "The cost: $588 billion per annum in the United States alone."

The maths behind it:

  • 28% of the average knowledge worker's day consumed by unnecessary interruptions and the recovery time after them, which Basex put at about 2.1 hours per day

  • 28 billion hours lost per year across the US workforce

  • $21 per hour as the average labour cost

  • 28 billion x $21 = $588 billion per year

Basex revised the figure upward to $650 billion by 2007, when Steve Lohr quoted it in a New York Times piece on multitasking and NPR named information overload its "problem of the year". By 2008 Spira had pushed the estimate to $900 billion for information overload as a whole.

Two decades on, content marketers still quote these numbers as if they were measured last quarter. They were not. The survey work behind them is from the mid-2000s, before smartphones, before Slack, before the notification economy went professional. The estimate was also produced by a consultancy, not peer-reviewed research, and the "28% of the workday" input came from surveys and interviews rather than direct measurement.

For what it's worth, my own arithmetic: if you keep Basex's 28 billion lost hours and price them at the current US average hourly wage of $37.62 instead of 2005's $21, you get about $1.05 trillion a year. I am not claiming that as a finding. I am pointing out that the famous number is so old that repricing its own inputs doubles it.

The newer estimate: 581 hours and $391 billion

A more recent and more transparent attempt came from the Economist Intelligence Unit, in a Dropbox-sponsored study called In Search of Lost Focus, first run in 2020. Sponsorship is worth flagging: Dropbox sells focus as a feature. The modelling still holds up better than most, because the EIU published its methodology.

The 2020 findings for the US:

  • The typical knowledge worker loses 581 hours a year to distraction - about 14 working weeks

  • Total US cost: $391 billion a year in lost productivity

  • 70% of surveyed workers interrupted their own work to check email at least once an hour; 18% checked every few minutes

The 2023 follow-up by Economist Impact re-ran the study across ten countries. US hours lost barely moved: 581 became 582. Remote work reshuffled the sources of distraction without shrinking the total.

The 2023 report also produced some much larger numbers, and these deserve a caveat. Modelling in gross-value-added terms, it estimated the US could gain up to $1.39 trillion if knowledge workers' lost focus were fully recovered, with potential savings of $37,000 per manager and $21,000 per general staff member per year. That trillion-dollar figure assumes a counterfactual where distraction goes to zero, which no workforce will ever hit. Treat it as an upper bound, not a forecast.

So the defensible range for the US: $391 billion measured conservatively, $650 billion on the older Basex basis, with trillion-plus figures existing only as theoretical ceilings.

Hours lost per employee per day

The per-day picture has stayed consistent across two decades of surveys, which gives me more confidence in it than in any single dollar figure.

Basex, 2005: 2.1 hours per day lost to unnecessary interruptions and recovery, per the original report.

Udemy, 2018: the Workplace Distraction Report, a Toluna survey of 1,000+ US full-time office workers, found:

  • 54% of workers said they aren't performing as well as they should because of distraction

  • 50% said they are significantly less productive because of it

  • 62% spend about an hour a day on their phones during work; among Millennials and Gen Z, 36% spend two hours or more

  • Top named distractions were chatty coworkers (80%) and office noise (70%), ahead of social media (56%)

Economist Impact, 2023: 582 hours a year lost. My arithmetic: divide by roughly 250 working days and you get 2.3 hours per day.

Three different methods, twenty years apart, all landing between two and two and a half hours a day. If you want to budget for distraction in your own team, two hours per person per day is the defensible planning number.

The cost of a single interruption, and an honest correction

The most famous statistic in this space is that it takes 23 minutes and 15 seconds to refocus after an interruption, attributed to Gloria Mark at UC Irvine. I have quoted it myself. Having now traced it, I owe you the full story.

The number does not appear in any of Mark's published papers. A 2023 investigation by the programmer oberien went through the studies most commonly cited for it and found the figure in none of them. Its earliest traceable appearance is a 2006 Gallup Business Journal interview in which Mark describes her observational findings. It is a researcher's summary of her data, given in conversation. That is weaker sourcing than a peer-reviewed result, and anyone quoting it to the second is projecting more precision than exists.

What Mark's published work does show is bad enough:

  • In No Task Left Behind? (CHI 2005), Mark, Gonzalez and Harris shadowed information workers and found they switched activities about every three minutes, with work fragmented across an average of roughly twelve "working spheres" per day

  • In The Cost of Interrupted Work (CHI 2008), Mark, Gudith and Klocke found that interrupted workers completed tasks in less time, but paid for it with measurably higher stress, frustration, time pressure and effort

The 2008 finding matters more than the 23-minute one. Interruption costs don't show up only as lost minutes. They show up as compressed, lower-quality, higher-stress work. That squares with the day where you technically got things done and still finished feeling wrecked. Meetings and notifications: the overhead nobody budgets

Two more datasets belong on any CFO's desk.

Meetings. In 2022, meeting scientist Steven Rogelberg of UNC Charlotte surveyed 632 employees across 20+ industries for a report published with Otter.ai. Employees averaged 18 hours a week in meetings and rated only about two-thirds of that time as necessary. Priced against salaries and benefits, the report put unnecessary meetings at about $25,000 per employee per year, and estimated a 5,000-person company wastes around $101 million a year on meeting time nobody needed.

Notifications. Microsoft's 2025 Work Trend Index special report, built on aggregated Microsoft 365 telemetry rather than surveys, found the average worker is interrupted every two minutes during core hours by a meeting, email or chat - about 275 interruptions a day. The average worker receives 117 emails and 153 Teams messages per weekday. In Microsoft's 2023 Work Trend Index, 68% of workers said they don't get enough uninterrupted focus time during the day.

Telemetry has its own bias - it counts pings, and can't see whether the recipient cared. But 275 daily interruptions doesn't need interpretation. Against Mark's finding that focused work dies at the three-minute switch mark, an interruption every two minutes means the default working day contains no deep work at all unless someone defends it on purpose.

What it maths out to per knowledge worker

This section is my own arithmetic, labelled as such. I'm combining the most defensible inputs above.

The wage-based floor. Take the Economist Impact figure of 582 hours lost per year and price it at the BLS average private hourly wage of $37.62:

  • 582 hours x $37.62 = about $21,900 per knowledge worker per year

Two reasons that number is conservative. Knowledge workers earn above the all-private average wage, so the wage input understates their cost. And wages understate value: employers pay a salary expecting output worth more than it. Push either assumption and you land between $25,000 and $35,000 per person, which is the range the Economist Impact modelling ($21,000 to $37,000 in potential per-person savings) and the Rogelberg meeting figure ($25,000 for meetings alone) also converge on.

The team version. For a 10-person team at that floor figure, distraction is a ~$220,000-a-year line item. It never appears in the budget because it's distributed across everyone's day in two-minute increments, and nobody invoices for it.

How to read these numbers

A summary of the error bars, because the honesty is the point of this page:

  • $588B / $650B (Basex) - consultancy estimate, 2005-2007 inputs, never peer-reviewed. Directionally useful, precisely meaningless in 2026.

  • $391B and 581 hours (EIU, 2020) - sponsored by Dropbox, but transparent modelling and re-validated in 2023. The most defensible economy-wide figure.

  • $1.39 trillion (Economist Impact, 2023) - a zero-distraction counterfactual. An upper bound, not a measurement.

  • 23 minutes 15 seconds (Mark) - from an interview, not a paper. The published research supports "interruptions are expensive," not that exact figure.

  • 2 hours per person per day - the one number three independent methods agree on across twenty years. If you quote one thing from this page, quote that.

The per-person fix

The economy-wide numbers are useful for arguing budget. They are useless for fixing your own Tuesday. At the individual level, the entire research trail points at one intervention: protect unbroken blocks of on-task time, because the cost lives in the switches, not in any single distraction.
